The Systems Snapshot (TL;DR)

The Reality: Traditional goal setting is often built on a "perfection myth" that doesn't survive 10:00 AM on a Tuesday when the toddler refuses to nap.

The Problem: Planning for an "ideal" life instead of your real one creates a "Mom-Brain Ceiling" - leaving you overwhelmed, overflowing, and stuck in the "figure it out" phase.

The 3-Step Fix:

  1. The Emotional Brain Dump: Identify the three high-impact goals that actually matter and connect with your "Why."

  2. The AI Breakdown: Use the Simplified Goals Planner to instantly turn big dreams into 8 actionable tasks using integrated AI prompts.

  3. The Reward & Review: Build in specific milestones to celebrate wins and use 90-day review cycles to stay Built to Run.

Next Steps: Reclaim your sanity with the Simplified Goals Planner found in the CEO Mama Method (DIY), the OWO Template Vault, or a live Systems Sprint for supported implementation. Schedule your discovery call to book this service.

The "Mom-Brain" Ceiling: Why Your Planning Fails

When you start thinking about your goals, you enter this perfect world.

Ideal schedule.

Ideal client load.

Ideal Income.

Ideal child interactions.

Ideal marriage.

Afterall, if you can achieve perfection of self, all the other things will become perfect too. And if you can set a business goal and achieve it, you will have the time and money to work on all those areas… right?..

As silly as it sounds, that’s what we do.

When I talk to you about goals you either are so busy that you haven’t thought about goals since your launch OR you spout off this list of a perfect balance between business, self, and motherhood.

But I’m going to challenge you to find the inbetweens. That’s the only way goal planning actually works. When it’s realistic.

If I asked you right now to tell me the top 5 emotions you feel regularly ‘overwhelm’ and ‘full’ would be in that list. Your brain stays full…

Full of client work.

Full of kids needs.

Full of house chores.

Full of business tasks.

Constantly full…

So when you start goal setting, even if you try to make it realistic, not perfect, it just adds one more thing to your already full mind. Overwhelmed and overflowing… The Mom Brain Ceiling.

But without knowing it, you go ahead and cram that one more thing in there, and start planning how you’re going to achieve that goal.

Time blocks. Priority lists. Action steps.

What about kid interruptions? Short naps? Sister squabbles?

That goal is important, but this client deadline is near.

The action steps make sense, but they’re just too big to do at once, not int he 5 minutes you actually have,

All these internal systems (schedules, goals, action steps) aren’t designed with your real life in mind. The structure is set up on “ideals” and “perfection” so none of it translates to your 10am Tuesday when your 1-year old is refusing her nap.

Step 1: Braindump & The "Why"

So here’s how you fix that.

  1. Take a breath. Let your kids have a screen for 30 minutes, fix your fun drink, and go Brain Dump! Get everything that’s currently in your head out on a piece of paper. Don’t worry about perfection, this is more about getting your mind clear than it is creating a task list.

  2. Set some goals. Write out a list of what you want to achieve in the next 3 years.

  3. Circle 3. Think about the 3 that would have the greatest impact. One-by-one circle them and write Why this would have the greatest impact.

  4. Connect emotionally with what you’ve written. Your 30 minutes is most likely up at this point, so before you get up from where you are and go back to mom-ing, take a deep breath and connect.

Step 2: AI-Powered Breakdown

Now it’s time to plan! Open your Simplified Goals Planner and plug your goals into the spreadsheet. You’ll do this by simply adding your goal to the top of a column, select the dropdown to choose the category (business or personal), then select the dropdown to choose which quarter you want to set as the deadline.

Now, I know what you’re saying… Olivia, how does adding it to a spreadsheet change anything?

This spreadsheet is set up with a simple to use AI Prompt!

All you have to do is click the 3rd tab labeled “AI Prompt”, select your goal from the formulated dropdown list, and then copy that AI Prompt into your chat!

If you’re honest with yourself, you stall in your goals when you don't know the next step. The Simplified Goals planner creates a simple way to use AI to generate 8 immediate, actionable tasks so you never have to figure it out from scratch.

Step 3: Reward & Review Cycle

I know you’ve been there. Working towards goals, and feeling like you’re never going to make it. Thinking that you might as well throw in the towel now… There’s no finish line. No pause. No reason to keep pushing when you’re already tired.

So you give yourself one.

That’s why I added the Reward Milestone to this tool! When you accomplish one of those action steps, or complete one of those goals, you need to reward yourself!

You decide ahead of time, “When I hit this milestone, this is what I get.” It doesn’t have to be big. It just has to be real. Something that makes you stop and say, “Okay, that mattered.”

And then comes the part most people skip… the review.

If you don’t review, you don’t finish. You just keep moving from one thing to the next, hoping you’re making progress.

Connect everything back to your week.

What moved?

What didn’t?

What actually matters right now?

And you adjust. If you’ve ever read my post on “Finish What You Started,” this is the part that actually makes that happen.

Take time to celebrate all that you have worked on, review, and make needed adjustments for long-term growth!

How to Get the Simplified Goals Planner

Now you’ve got the process, the question is if you want to use it or if you want to keep storing everything in your already overwhelmed & overflowing head.

Both options give you more templates & tools to use to organize your tasks, your weeks, and your workflows. However, the CEO Mama Method gives you more structure as it walks you through how to set this up as part of a full 90-day plan, including your weekly rhythms and review cycles.

FAQ: Goal Setting for Busy Business Owners

How can I set business goals when I have kids at home?

You don’t set them based on an ideal schedule. You set them based on the time you actually have. They need to fit inside your real life.

That’s why breaking them into smaller steps matters. That’s why your week needs structure.

Because you’re not working in long, uninterrupted blocks. You’re working in pockets.

So your system has to support that.

What is the best way to use AI for business planning?

Don’t use AI for writing/creating your goals. Your heart knows that. So, use AI to break the goals down into small, applicable steps.

The hardest part is figuring out what to do first, or what to do next when you’ve done all that you know to do. Using the AI Prompt inside the planner gives you a starting point immediately, so you’re not sitting there trying to map it out from scratch.

Final Thought

You are amazing and you have built something amazing. Now it’s time to get the tools and systems you need to hold your business, your goals, and your sanity when your life gets full.

Because it will.
